Subscribing to Your Calendar (for Staff)

Any staff member can easily add Appointments and Shifts to their calendar software by using the Private Calendar URLs listed in their staff profile.

These URLs can be copied and pasted into:

Google Calendar (Gmail), Microsoft Outlook, iCal, any iOS device, any Android device and maybe even a BlackBerry!

Including or excluding appointment notes

Before you get started, you’ll want to decide whether or not you want appointment notes to be synched to your external calendar.

Appointment notes in Jane aren’t charts, but they can sometimes include PHI or other confidential or sensitive information. You can see them by hovering your mouse over an appointment on the schedule, or in the Notes section of the appointment panel.

To exclude appointment notes from your calendar sync, head to your staff profile and click Edit/Settings under your name.

Next, click Settings under your name. Then, under the Privacy and Sharing section, you can change the Include Notes setting.

Make sure to Save your changes.

Generating your calendar URL

First, go to your staff profile, and click “Set up private calendar URLs” on your staff profile page.

Then click either Appointments or Shifts.

Calendar Subscription options will open where you can:

  • 1 - Subscribe on this device (open the calendar app on your device and add the subscription)
  • 2 - Click to quickly open and subscribe to Google Calendar and Outlook
  • 3 - Manually subscribe by copying and pasting a URL into your calendar.

Pro Tip #1

Google Calendar adds subscribed calendars with a default so that anyone who can view your Google Calendar can also see the details of your subscribed calendar. If you don’t want this, you’ll want to visit the instructions to subscribe to Google Calendar and follow the instructions to “Add using a link”, copying the URL from Jane (option #3 above). When you do that, you can paste in the URL from Jane, and then make sure to keep the “Make the calendar publicly accessible” box unselected:

Pro Tip #2

If you are subscribing to your calendar you can change what information is displayed in your external calendar outside of Jane (since it’s no longer being stored on Jane’s secure servers). Head over to your Staff Profile > Edit Settings. Next, click Settings under your name and then scroll down to Privacy & Sharing. Here, you can update how you’d like the client’s name to appear on your calendar (and in email notifications) and whether you’d like to include appointment notes in your calendar subscription.

Make sure to Save your changes.
